Snowflake is looking for an experienced, strategic self-starter to join our Executive Administration team within the Engineering Organization. In this role, you’ll partner closely with 2–3 Engineering Directors based in Europe (Berlin,Warsaw) to strategize, operationalize, and execute all administrative functions.
You’ll be an essential member of the leadership team, using your expertise in a fast-paced and growing environment to create structure out of chaos and help executives effectively scale the business. You’ll initiate, own, and implement systems and processes that increase efficiency for a growing org, keeping our global teams streamlined and aligned.
WHAT YOU’LL DO
Master the Calendar: Effectively manage and maintain complex calendars for 2–3 Senior leaders, prioritizing a high volume of tasks across EMEA and US PST time zones.
Drive Engineering Cadence: Coordinate recurring engineering cycles, including staff meetings, technical reviews, updates, and calibrations.
Operationalize Efficiency: Build responsiveness into existing operations and define new regional strategies, such as optimizing onboarding and external event organization.
Global Collaboration: Partner closely with our US-based Admin team to ensure seamless cross-regional collaboration and alignment on global initiatives.
Event & Project Ownership: Execute high-visibility events, from week-long org-wide Hackathons to local team offsites (managing location, menu, and logistics). Lead small to large-scale projects including space management and headcount tracking.
Financial Stewardship: Manage team budgets, travel, and executive-level expenses. Process invoices, Purchase Orders, and conference-related logistics.
Strategic Communication: Facilitate communication between Berlin/Warsaw-based teams and global stakeholders. Own agendas for All Hands and offsites, and draft transparent internal comms (newsletters, meeting notes, action item tracking).
WHAT YOU’LL NEED
Experience: Bachelor’s degree and 4+ years of relevant work experience in direct executive support, program/project management.
Languages: Proficient English is required for global collaboration. Strong communication in German is essential for interacting with local vendors, Berlin office logistics, and regional stakeholders.
Agility: Proven ability to manage time efficiently and prioritize multiple stakeholders in an extremely fast-paced environment.
Problem-Solving: Experience identifying operational gaps and initiating the systems or programs needed to bridge them.
Precision: Extreme attention to detail, highly organized, and responsive.
Communication: Very strong interpersonal, verbal, and written communication skills; comfortable interacting with all levels of management, vendors, and customers.
Tech Savvy: High proficiency with modern collaboration tools and a quick learner of new internal systems, experience with AI agents will be a plus.
